Terms of Service

Please read these Terms carefully before using Clubvolare. By creating an account or using the app, you agree to be bound by these Terms. If you do not agree, do not use Clubvolare. These Terms are governed by the laws of Victoria, Australia.

2.1 Parties

Registrum (ABN 29 372 825 751) ("Clubvolare", "we", "our", "us") provides the Clubvolare travel planning application. "You" and "user" refer to the individual accessing or using the service.

2.2 Service description

Clubvolare is a digital travel planning tool allowing you to:

  • Create and manage trip itineraries
  • Track travel documents, expenses, and checklists
  • Access travel utilities including currency conversion and timezone comparison
  • View local emergency numbers and consulate contacts based on your location or trip destination
  • Use AI-assisted features to generate travel suggestions (where available)
  • Import booking confirmation emails to auto-populate itinerary items (Explorer and Pro plans)
  • Collaborate with other travellers on shared trips (Explorer and Pro plans)
  • Track research and bookings (Explorer and Pro plans)

IMPORTANT — What Clubvolare is NOT: Clubvolare is a planning tool only. We are NOT a travel agent, booking agency, tour operator, licensed travel service provider, registered migration agent under the Migration Act 1958 (Cth), immigration adviser, visa consultant, or financial adviser. Nothing in the app constitutes travel agency services, immigration advice, or financial advice.

2.3 Eligibility

  • You must be at least 18 years old to create an account
  • You must have legal capacity to enter into binding agreements in your jurisdiction
  • You must provide accurate and complete information at registration
  • You are responsible for maintaining the confidentiality of your password
  • You are responsible for all activity that occurs under your account
  • You must notify us immediately of any unauthorised use at support@clubvolare.com
  • One account per person — multiple accounts to circumvent plan limits is prohibited

2.4 Subscription plans and pricing

All prices are in Australian Dollars (AUD) and include GST. Pricing is subject to change with 30 days' written notice. International users may see local currency equivalents calculated by Paddle at checkout — AUD is the base currency.

2.5 Free trial

Explorer and Pro plans include a 14-day free trial for new subscribers. No payment is collected during the trial. At trial end, your chosen plan commences and payment is collected via Paddle. Cancel before the trial ends to avoid any charge. The 14-day period begins from the date you initiate the trial.

2.6 Billing and payment

  • Subscriptions are billed monthly or annually in advance
  • Payment is processed by Paddle (Paddle.com Market Ltd), our merchant of record
  • Paddle handles all billing, invoicing, and tax obligations including GST, VAT, and other applicable taxes
  • You authorise Paddle to charge your nominated payment method on the applicable billing cycle
  • Paddle issues tax invoices for all transactions — available from the Paddle Customer Portal
  • If payment fails, your account may be downgraded to Free after a reasonable grace period at our discretion

2.7 Plan changes

  • Upgrades: take effect immediately with pro-rata charge for the remainder of the billing period
  • Downgrades: take effect at end of current billing period; data is preserved
  • Annual to monthly: not permitted mid-term; applies at annual renewal

2.8 Email import feature

Explorer and Pro subscribers may forward booking confirmation emails for automatic itinerary extraction. By using this feature you agree that:

  • You have the right to forward the emails in question
  • Emails are processed by automated systems to extract itinerary data only
  • Raw email content is not retained after extraction
  • Clubvolare does not guarantee accuracy of parsed data — review all imported items before relying on them
  • You will not forward emails containing third-party personal information beyond standard booking details

2.9 Travel information and consular contacts

Clubvolare displays emergency contact numbers, consulate contact details, and links to official government travel advice. You acknowledge:

  • Emergency numbers and consular contact details may be out of date or incorrect
  • Clubvolare has no affiliation with any embassy, consulate, or government department
  • In a genuine emergency always use the local emergency number — do not rely solely on app data
  • For visa and entry requirements always verify with official immigration authorities of your destination
  • Clubvolare is not a registered migration agent under the Migration Act 1958 (Cth)

2.10 Acceptable use

You agree not to:

  • Use Clubvolare for any unlawful purpose under Australian or applicable international law
  • Attempt to gain unauthorised access to any part of the service or another user's data
  • Use the service to store, transmit, or distribute malware or malicious code
  • Scrape or extract data from Clubvolare by automated means without written permission
  • Resell or sublicense access to Clubvolare
  • Use AI features to generate content that is false, misleading, defamatory, or harmful
  • Use email import to process emails you are not authorised to forward

We reserve the right to suspend or terminate accounts that violate these terms without refund.

2.11 Intellectual property

Clubvolare and all content, software, design, trademarks, and technology are owned by or licensed to Registrum. You are granted a limited, non-exclusive, non-transferable, revocable licence to use the app for personal travel planning only.

You retain ownership of content you create. You grant us a limited licence to store, process, and display your content solely to provide the service. This licence terminates when you delete your account.

2.12 AI-generated content

Clubvolare includes or may include AI-powered features. You acknowledge:

  • AI-generated content is for informational and planning purposes only
  • AI suggestions are not verified or endorsed by Clubvolare
  • You must independently verify AI-generated content before relying on it — especially for visa requirements, health rules, or safety conditions
  • AI features will not answer questions about immigration, visa requirements, or legal advice
  • Clubvolare is not liable for decisions made based on AI-generated content
  • All AI responses are labeled as AI-generated within the app

2.12A Fair use of AI features

Where Clubvolare markets AI features (the AI travel assistant, AI trip planner, and email import parsing) as "unlimited" or as part of a paid plan, that wording is subject to a fair-use policy designed to keep the service sustainable for all members and to prevent automated abuse.

  • Personal, human use only. AI features are for your own personal trip planning. You must not use them via scripts, bots, scrapers, automated tooling, or any process that simulates a human user.
  • Reasonable per-day volume. Sustained usage that materially exceeds typical human use (for example, hundreds of AI assistant messages in a single day, repeated identical prompts, or generating output to redistribute) falls outside fair use.
  • No resale or redistribution. You must not on-sell, repackage, embed, syndicate, or otherwise redistribute AI output generated through Clubvolare.
  • No model extraction. You must not use AI features to train, fine-tune, evaluate, benchmark, or reverse-engineer any other AI model.
  • Reasonable measures. We may apply soft per-day caps, per-minute burst limits, and output-length caps invisibly to protect the service. These caps are sized so that ordinary, human, personal use is never affected.

If we identify usage that is inconsistent with fair use, we may, at our sole discretion and in proportion to the conduct: apply a temporary throttle to your AI quota; pause your access to AI features; permanently disable AI features on your account; or, in serious or repeated cases, suspend or terminate your account and refund any unused portion of your subscription in line with the Australian Consumer Law.

Non-AI features of Clubvolare (itineraries, documents, expenses, journal, exports, etc.) are not affected by this clause and remain available subject to your plan's normal limits.

2.12B Changes to AI features

AI features depend on third-party providers and external infrastructure. We may change, limit, suspend, or remove any AI feature at any time — including via global or per-feature kill-switches — if a provider becomes unavailable, costs become unsustainable, or to address abuse or safety concerns. Where a paid plan materially relies on an AI feature that is removed permanently, you may request a pro-rata refund under the Australian Consumer Law.

2.13 Third-party services and links

Links to third-party websites and services are for convenience only. We have no control over and accept no responsibility for third-party content, accuracy, or practices. Accessing third-party services is at your own risk.

2.14 Limitation of liability

To the maximum extent permitted by Australian law:

  • Clubvolare is provided "as is" and "as available" without warranties of any kind
  • We do not warrant that the service will be uninterrupted or error-free
  • We do not warrant the accuracy of any travel information, emergency contacts, consular data, AI content, or currency rates
  • We are not liable for any direct, indirect, incidental, or consequential damages including denied entry to any country, missed flights, or reliance on emergency or consular contact information
  • Our total aggregate liability shall not exceed the total amount you paid us in the 12 months preceding the claim

Nothing in these Terms limits liability that cannot be excluded under the Australian Consumer Law.

2.15 Australian Consumer Law

Our services come with guarantees that cannot be excluded under the Australian Consumer Law (Schedule 2, Competition and Consumer Act 2010 (Cth)). For a major failure you are entitled to cancel and receive a refund for the unused portion. For a minor failure we will fix the problem within a reasonable time or provide a refund.

2.16 International users

  • These Terms are governed by the laws of Victoria, Australia
  • You are responsible for compliance with local laws applicable to your use of the app
  • Consumer protection laws in your jurisdiction may provide additional rights — nothing here limits rights that cannot be excluded under mandatory local law
  • EU and UK users have additional rights under GDPR / UK GDPR as described in our Privacy Policy

2.17 Governing law and jurisdiction

These Terms are governed by the laws of the State of Victoria, Australia. You irrevocably submit to the non-exclusive jurisdiction of the courts of Victoria and the Federal Court of Australia. This does not affect mandatory rights you may have under the laws of your country of residence.

2.18 Changes to terms

We will notify you of material changes by email at least 14 days before they take effect. Continued use after the effective date constitutes acceptance. If you do not agree you must stop using Clubvolare and may request account deletion.

2.19 Termination

You may terminate your account at any time via Settings → Account → Delete Account. We may suspend or terminate accounts that breach these Terms. Upon termination your data will be deleted in accordance with our Privacy Policy.
